Understanding Lane Rates Function

Overview

This article provides a high-level explanation of how rate cards are uploaded and activated in Cario, as well as how freight charges are tested in Quick Quote.
The detailed configuration and system setup are completed by the Cario Onboarding and Support Teams, but this guide helps you understand the overall process.

Uploading Rate Cards

Rate cards contain the transport rates and surcharge rules used to calculate freight charges.
When a rate card update is required, the Cario team will:

  • Upload the rate card into Lane Rates
  • Check that the file processes successfully
  • Ensure the rate card is linked to the correct carrier
  • Assign the rate card to your customer account

Once uploaded and assigned, the rate card becomes active for quoting and consignment creation.

Activating Carrier Services

Each carrier provides a list of services (e.g., Express, Standard, Same Day).
After the rate card is uploaded, Cario will:

  • Enable the correct services for your account
  • Ensure only services relevant to your business are visible
  • Confirm that each service is correctly linked to the rate card

You will then see these services in Quick Quote and during consignment creation.

Assigning the Rate Card to Your Customer Account

After the carrier and its services are prepared, the Cario team:

  • Links the rate card to your customer
  • Activates the carrier for your account
  • Ensures pricing is calculated using the correct rate type (Rate or Margin)

Customers are not required to perform any configuration; Cario handles this step end-to-end.

Testing Freight Charges in Quick Quote

Once everything is configured, the Cario team will run a test in Quick Quote to confirm rates are working correctly.

A standard quote test includes:

  • Customer name
  • Pickup date
  • Origin & destination
  • Package type
  • Container type (e.g., carton or pallet)
  • Weight and quantity

The system then calculates the freight charge based on the rate card.

How Freight Charges Are Calculated

You do not need to calculate charges manually, but understanding the logic may help when interpreting quotes.

Weight-Based Charges

The system compares:

  • Dead Weight (actual weight)
  • Cubic Weight (based on dimensions)

The higher of the two is used.

The freight charge is then calculated from the applicable rate in the rate card.

Pallet-Based Charges

For palletised freight, pricing is based on:

  • Number of pallets
  • Weight limit per pallet
  • Any oversize or overweight rules

For example:
If a pallet rate is 167.06 per pallet:

  • 1 pallet = 167.06
  • 3 pallets = 3 × 167.06
If a pallet exceeds the weight limit, additional pallet units may apply.

Summary

Uploading rate cards, enabling services, and validating freight charges are key steps in ensuring accurate quoting in Cario. While these processes are fully managed by the Cario Onboarding and Support Teams, this guide provides an overview of how the system works behind the scenes.

If you need rate updates, service changes or freight charge reviews, please contact the Cario Support Team or your onboarding specialist.
