Maintenance

In this menu option you can maintain the fields that are used for creating a consignment.

1. Addresses

All addresses are stored in your address book when creating a consignment.

In this menu option you can modify and delete the created addresses, as well as adding a new address.

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Addresses’ on the left-hand side
  3. Search the correct address
    1. You can modify the consignment
    2. You can delete the consignment
  4. To modify: click on the pencil on the right-hand side
    1. You can modify the address lines
    2. Select the 'residential' checkbox to mark the address as residential
    3. Select ‘Postal Only’
    4. Select the address as ‘Extended address
    5. Select the ‘ATL’ checkbox to mark the address as Authority to Leave
    6. Add ‘Pickup’ or ‘Delivery’ instructions if needed
    7. Select ‘Tail lift’ or ‘hand unload’
  5. To delete: click on the trashcan on the right-hand side
  6. To add: click on the red plus-sign on the right-hand side
    1. Enter all the address details before accepting the screen with [OK]

1.1 Extended address

This option includes:

  1. Extended address
  2. What3words

Some addresses are not easy to find or there are specific requirements that include more
information than can be printed on Labels.

Extended addresses
If Extended address information is entered on this screen or if the what3words address is entered, an additional label will be printed for each item in the consignment.

Note: The additional label is only printed if you use the extended address or what3words function. These additional labels identify the consignment they relate to and will include the standard address already entered plus the additional Extended address information and the what3words address if it has been entered.

This additional label should be placed on each carton next to the shipping labels. The Delivery driver will be able to read this additional information to assist with locating the delivery location. The Driver can scan the QR code on the additional label to get to a map showing the location of if using the what3words app can scan the 3-word address within the app to get a map of the location.

What3words
The what3words address can also be used with the what3words app (Android or iPhone, app can be found in the appropriate app store. Search for what3words) or www.what3words.com to get navigation to the precise location for the delivery.

The driver only needs to enter the 3 words provided into the app.

The what3words address is noted with 3 slashes in front of the 3 words separated by dots.

For example: ///privy.garage.peering is the location Freight People Office in Dandenong South.

Providing an extended address or using the what3words address will help to avoid failed deliveries or delays in locating the delivery location and will also help avoid associated futile or redelivery fees.

Note: Carriers do not currently have provision within their systems for these extended or the What3Words addresses.

This will change over time and as carriers adapt to accommodate them, we will update the data we send to Carriers.

The Delivery instructions and Special Instructions fields must be completed as normal.

How it works?

Extended Addresses and what3words can be selecting the tick box on the top right of the Delivery address screen.

When the Extended Address tick box is selected, the address entry window will be expanded to allow the Extended address and or the what3words address to be entered.

The Extended address up to 200 characters can be entered. When entering the additional address information use the ‘Enter’ key to create multiple lines.

The what3words address can be manually entered or if you don’t know your what3words address you can use the lookup process to find the address. This process will try to position you on the map based on the standard address that has been entered on the left of the screen.

Follow the instructions in the box on the right bottom corner.

Accept the address by selecting [ok]

When Shipping Labels are created and you used the Extended address or what3words option, an additional label will be printed for each item.

Place the 2 labels next to each other on the freight so that the additional label is obvious for the Delivery Driver.

This example is for a Border Express - Parcel consignment

Note: The consignment label is different for each carrier.

There is also an option to import bulk addresses.

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Addresses’ on the left-hand side
  3. To obtain the template, click on the 'Export to CSV' button to the right of the screen:

  4. Open the CSV file to enter all the address information

    Explanation of the fields:
    • Code: unique code per address (optional)
    • CostCentre: standard cost centre for this address (optional)
    • Name: company name, max 30 characters, no special characters (mandatory)
    • AddressLine1: Address line 1 of the company, max 30 characters, no special characters (mandatory)
    • AddresLine2: Address line 2 of the company, max 30 characters, no special characters (optional)
    • Locality: suburb (mandatory)
    • State: State (mandatory)
    • Postcode: Postcode (mandatory)
    • Country: Australia (Cario only supports national freight)
    • Contact: contact name, max 30 characters (mandatory)
    • Phone: Telephone number, numeric and only the characters – ) allowed (optional)
    • Mobile: Mobile number, numeric and only the characters – ) allowed (optional)
    • Fax: Fax number, numeric and only the characters – ) allowed (optional)
    • Email: email address, only 1 allowed (optional)
    • IsPostal: FALSE or TRUE - is the address a postal address (mandatory)
    • IsResidential: FALSE or TRUE - is the address a residential address (mandatory)
    • IsMineSite: FALSE or TRUE - is the address a minesite address (mandatory)
    • AllowATL: FALSE or TRUE - Authority to Leave option (mandatory)
    • Notes: pickup/delivery instructions, max 100 characters, no special characters (optional)
    • ThirdPartyCarrierCode: blank, discuss this option at a later stage
    • ThirdPartyCarrierServiceCode: blank, discuss this option at a later stage
    • ThirdPartyCarrierChargeAccount: blank, discuss this option at a later stage
    • WhatThreeWords: blank, discuss this option at a later stage
    Note: You will need to ensure that the locations are validated (Locality, State, Postcode) and that the max field lengths are not exceeded.
  5. Save as CSV file
  6. Click on the 'Import File' button to the right of the screen:

  7. Select the correct file – select [open]
  8. If all existing addresses needs to be deleted, select the tick box ‘Delete Existing Addresses’
  9. In tab ‘Uploaded Files’ you can monitor the import


2. Products

In this menu option you can define products which can be used when creating consignments. Products are predefined freight shipments. A product contains a container type, dimensions and weight and sometimes dangerous goods. 

You can select the created product in the screen ‘create a new consignment’ and you only need to add the quantity of this product. This will save time. 

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Products’ on the left-hand side
  3. To add a ‘Product’ click on the red plus-sign on the right-hand side A separate screen will be open

  4. Enter the following fields
    1. Product code = the code of the product (internal number)
    2. Name = name of the product (this is the search field on the consignment screen)
    3. Type = Container: what kind of freight is it
    4. Weight(kg): the weight in kilos per product
    5. Length(cm): the length in centimetres per product
    6. Width(cm): the width in centimetres per product
    7. Height(cm): the height in centimetres per container
    8. Hazardous Materials: this product has dangerous goods. The UN code must exist in Cario before adding this to a product.
      1. Un code or name = the four-digit number that identify dangerous goods
      2. Trade Name = trade name of the product
      3. Aggregated Quantity = the total of the number of kilograms of solid dangerous goods or the number of litres/kilograms of liquid dangerous goods or the total capacity in litres of receptacle containing
      4. Agg Qty Units = choose between kg or litre
      5. Receptacle (container) are containment vessels for receiving and holding
        substances or articles, including any means of closing
      6. Note: Class, Division, Subsidiary Hazard, Packing group are automatically
        entered
  5. Click [OK]

Note: If the weight = 0 the [create] option is greyed out, you need to enter the correct weight.

Your product is saved as a template.

To modify a product, click the pencil-sign on the on the right-hand side. To delete a product, click the trashcan on the on the right-hand side.

There is also an option to import bulk products.

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Products’ on the left-hand side
  3. To obtain the template, click on the 'Export to CSV' button to the right of the screen:

  4. Open the CSV file to enter all the product information

    Explanation of the fields:
    • Code: Product code, max 20 characters, no special characters (mandatory)
    • Name: Product name, search criteria, max 20 characters, no special characters (mandatory)
    • ContainerType: what kind of freight is it (mandatory)
    • GTIN: Global Trade Item Number (optional)
    • Length: the length in centimetres per product (mandatory)
    • Width: the width in centimetres per product (mandatory)
    • Height: the height in centimetres per container (mandatory)
    • Volume: Optional, can be calculated
    • Weight: the weight in kilos per product (mandatory)
    • UNCode: Dangerous Goods Code (only numbers) (optional)
    • ProperShippingName: Only if Un code entered (optional)
    • TradeName: Only if Un code entered (optional)
    • Division: Only if Un code entered (optional)
    • SubsidiaryHazard: Only if Un code entered (optional)
    • PackingGroup: Only if Un code entered (optional)
    • NoOfUnits: Only if Un code entered (optional)
    • AggregateQty: Only if Un code entered (optional)
    • AggregateQtyUOM: Only if Un code entered (optional)
    • Receptacle: Only if Un code entered (optional)
  5. Save as CSV file
  6. Click on the 'Import File' button to the right of the screen:

  8. If all existing products need to be deleted, select the tick box ‘Delete Existing Products’


3. Hazardous Materials

In this menu option you can define hazardous materials which can be used when creating
consignments. You can select the created hazardous material in the screen ‘create a new
consignment’.

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Hazardous Materials’ on the left-hand side
  3. To add a ‘Hazardous Material’ click on the red plus-sign on the right-hand side
    A separate screen will be open

  4. Enter the following fields
    1. Un code or name = the four-digit number that identify dangerous goods
    2. Trade Name = trade name of the product
    3. Aggregated Quantity = the total of the number of kilograms of solid dangerous goods or the number of litres/kilograms of liquid dangerous goods or the total capacity in litres of receptacle containing
    4. Agg Qty Units = choose between kg or litre
    5. Receptacle (container) are containment vessels for receiving and holding substances or articles, including any means of closing
      Note: Class, Division, Subsidiary Hazard, Packing group are automatically entered
  5. Click [OK]

Your dangerous goods code is saved as a template.

To modify hazardous materials, click the pencil-sign on the on the right-hand side.

To delete hazardous materials, click the trashcan on the on the right-hand side.



4. Codes

For reporting purpose, you can define extra fields/codes which are available when creating a
consignment.

The 2 available options are:

  1. Cost Centre field
  2. Custom label field

4.1 Cost Centre

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Codes’ on the left-hand side
  3. Select the dropdown arrow in the field ‘Code Category’
  4. Select ‘Cost Centre’
  5. To add a ‘Cost Centre’ click on the plus-sign on the right-hand side
  6. A line will be added

  7. Enter a code and a description, value is optional
  8. Tab out the fields
  9. Message displayed ‘Code successfully added’

When you create a new consignment the Cost Centre field is now mandatory

The entered ‘Cost Centre’ on consignments will be available in ‘Export to CSV’ file in the menu option ‘Customer Service’.


4.2 Custom Label

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Codes’ on the left-hand side
  3. Select the dropdown arrow in the field ‘Code Category’
  4. Select ‘Custom Labels’
  5. To add a ‘Custom Label’ click on the plus-sign on the right-hand side
  6. Extra lines will be added

  7. Enter a description
  8. Tab out the fields
  9. Message displayed ‘Code successfully added’

When you create a new consignment a ‘Customer Data’ field has been added to the consignment screen. These fields are not mandatory.

The entered ‘Custom Label’ fields on consignments will be available in ‘Export to CSV’ file in the menu option ‘Customer Service’.



5. Descriptions

In this menu option you can predefine descriptions which can be used when creating consignments.

The 3 available options are:

  1. Delivery instructions
  2. Pickup instructions
  3. Special instructions

5.1 Delivery instructions

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Descriptions’ on the left-hand side
  3. Select the dropdown arrow in the field ‘Customer Description’
  4. Select ‘Delivery Instructions’
  5. To add a ‘Delivery Instructions’ click on the plus-sign on the right-hand side
  6. A line will be added

  7. Enter a ‘Description’ and ‘Note’
    Description: max 100 characters, you select this when creating a consignment in the ‘Deliver To’ address details screen
    Notes: customer internal note
  8. Tab out the fields

When you enter a delivery address in the consignment screen, you can choose ta predefined delivery instruction.

5.2 Pickup Instructions 

Steps to follow:

  1. Login to Cario
  2. Click on ‘Maintenance – Descriptions’ on the left-hand side
  3. Select the dropdown arrow in the field ‘Customer Description'
  4. Select ‘Pickup Instructions’
  5. To add a ‘Pickup Instructions’ click on the plus-sign on the right-hand side
  6. A line will be added

  7. Enter a ‘Description’ and ‘Note’
    Description: max 100 characters, you select this when creating a consignment in the ‘Collect From’ address details screen

When you enter a collection address in the consignment screen, you can choose a predefined pickup instruction.

5.3 Special instructions

Steps to follow:

  2. Click on ‘Maintenance – Descriptions’ on the left-hand side
  3. Select the dropdown arrow in the field ‘Customer Description'
  4. Select ‘Special Instructions’
  5. To add a ‘Special Instructions’ click on the plus-sign on the right-hand side
  6. A line will be added

    Description: max 100 characters, you select this when creating a consignment in the ‘special instruction section

When you can create a consignment, you can select a predefined special instruction in the ‘Special Instructions’ field.
